Privacy Policy — Process Guides Recorder

This policy covers the Process Guides web application and the Process Guides Recorder browser extension (the “Extension”).

1. Who we are

Process Guides is operated as part of the VSIOP Planner product family. Contact: jeyaraj.r@vsiopplanner.com.

2. What the Extension does

The Extension helps users create step-by-step process guides. When a user starts recording, it captures:

• Clicks and basic element labels (button text, field names, page title, URL)
• Screenshots of the visible browser tab at each recorded step

Recording runs only after the user explicitly clicks Start recording, and stops when they click Stop & create guide.

3. Data we collect

• Account data: email/mobile, name, company workspace details provided at registration or sign-in
• Guide content: process names, step text, screenshots, notes, and related metadata created by the user
• Extension auth token: a token stored in the browser so the Extension can upload a draft guide to the user’s company workspace

4. How we use data

• Create and store process guides inside the user’s company workspace
• Authenticate Extension uploads to the correct company account
• Operate, secure, and improve the Process Guides service

We do not sell personal data.

5. Company isolation

Guides and screenshots belong to the company workspace the user signed into. Other companies cannot access that data through Process Guides.

6. Permissions justification

The Extension may request permission to access websites the user visits because:

• Users document processes on many different web apps (ERP, HR, quality tools, etc.)
• Screenshots and click labels must be captured on the page where the process happens

The Extension does not record in the background for advertising. Capture happens only during an active user-started recording session.

7. Storage and retention

Guide data is stored on our application servers / cloud storage used by Process Guides. Users and company admins control guide content (including drafts and published guides). Account holders may request deletion by contacting us.

8. Sharing

We use infrastructure providers (for example hosting and file storage) only to run the service. We do not share guide screenshots with third parties for marketing.

9. Security

Access to Process Guides requires authentication. Extension uploads use a bearer token tied to the signed-in user. Users should keep their passwords confidential and sign out of the Extension on shared computers.

10. Children’s privacy

Process Guides is intended for business use and is not directed at children under 13.

11. Changes

We may update this policy. The “Last updated” date will change when we do. Continued use after updates means you accept the revised policy.
